These Terms of Service (“Terms”) govern the provision of audio-visual (AV) event services by Vibe Events (“we”, “us”, “our”) to you (“Client”, “you”). By requesting a quote, signing a proposal, or making a booking, you agree to these Terms.

1. Services

Vibe Events provides audio-visual equipment, setup, operation, and technical support for events including but not limited to: conferences, weddings, live music, corporate events, and private parties. Specific services will be detailed in a separate Quote or Booking Confirmation.

2. Quotes & Bookings

• Quotes are valid for 14 days unless stated otherwise.

• A booking is confirmed only when:

  • You have accepted the Quote in writing (email is fine), and

  • We have received a 50% non-refundable deposit (unless otherwise agreed).

• Final headcount, event schedule, and technical requirements must be provided no later than 7 days before the event.

3. Pricing & Payment

• All prices are in Euros (€) and exclude VAT or applicable taxes, which will be added if required by law.

• Deposit: 30% non-refundable upon booking.

• Final balance: Due no later than 7 days before the event. For events booked less than 7 days in advance, full payment is due immediately.

• Late payments may incur interest at 2% per month on the outstanding amount.

• Payment methods: Bank transfer or credit card (if offered on invoice).

4. Cancellation & Refunds

If Vibe Events cancels due to circumstances beyond our control (e.g., illness, equipment failure beyond repair), we will refund all payments made in full as our sole liability.

5. Client Responsibilities

You agree to:

• Provide safe, level, dry access to power (standard EU 230V unless otherwise agreed).

• Ensure a responsible person is present during setup and breakdown.

• Not move, reconfigure, or tamper with any equipment.

• Inform us of any venue-specific rules, insurances, or load-in restrictions.

6. Equipment Damage & Loss

The Client accepts liability for loss, theft, or damage to Vibe Events’ equipment caused by:

• Client’s guests, employees, or contractors.

• Failure to follow our instructions.

• Theft from an insecure area provided by the Client.

Replacement cost will be invoiced at current market value (not depreciated). We strongly recommend you have event insurance covering hired equipment.

7. Liability

• Our liability to you is limited to the total amount paid for the specific event.

• We are not liable for:

  • Consequential losses (e.g., lost revenue due to technical issues).

  • Delays caused by venue, weather, power failures, or third parties.

  • Injury or property damage unless caused by our proven negligence.

• Nothing in these Terms excludes liability for death or personal injury caused by our negligence.

8. Intellectual Property

Any custom video, lighting design, or audio mix created by Vibe Events remains our intellectual property. You may use recordings of your event for personal use but not resell or distribute our AV work without written permission.

9. Force Majeure

We are not liable for delays or failure to perform due to causes outside our reasonable control, including: acts of God, war, strikes, pandemic, government orders, severe weather, or venue closure. In such cases, we will offer a credit or reschedule where possible.

10. Privacy

Our use of your personal data is governed by our Privacy Policy. By using our services, you acknowledge that privacy policy.

11. Governing Law

These Terms are governed by the laws of Spain. Any disputes shall be resolved in the courts of Madrid or Malaga (or your local Spanish court if you are a consumer).

12. Changes to These Terms

We may update these Terms from time to time. The version on our website at the time of booking applies.
